Constitution of the Clwb Camera Aberystwyth Camera Club as of 17th February 2025

  1. Name and Purpose
    1. The club will be known as Clwb Camera Aberystwyth Camera Club.
    2. Its purpose is to promote photography as a craft and an art, foster skill development, and provide a social forum for photographers of all levels.
  2. Membership.
    1. Open to all adults interested in photography.
    2. Annual membership fees shall be determined at the Annual General Meeting (AGM).
    3. Membership grants access to events, socials, competitions, and voting rights.
    4. Members are expected to conduct themselves respectfully.
  3. Committee Structure
    1. The Committee shall oversee the club’s operations and consist of:
      Chairperson – Leads meetings and represents the club
      Secretary – manages communications and records minutes.
      Treasurer – manages finances and reports on accounts.
    2. The club may vote in additional committee members at the AGM as fit the needs of the club. This may include supportive roles to other positions.
  4. Meetings
    1. General Meetings: Held weekly to share and discuss photography.
    2. Annual General Meeting (AGM): Held annually to review the year, elect the Committee, and discuss club matters.
    3. Extraordinary General Meetings (EGM): Can be called by the Committee or by a request signed by 25% of the members.
  5. Voting
    1. Decisions are made by a simple majority of attending members (or by an approved proxy).
    2. Each member has one vote.
    3. The Chairperson has the casting vote in case of a tie.
  6. Finances
    1. The Treasurer shall maintain accurate records and present a financial report at the AGM.
    2. Club funds are used solely for club activities.
    3. The Committee must agree on budgets and approve expenditures.
  7. Competitions
    1. Members have the opportunity to submit entries to internal and external competitions.
    2. Voting will be conducted by club members if internal, or an appointed judge.
    3. Competition rules are subject to change.
  8. Data Protection (GDPR Compliance)
    1. The club shall comply with the General Data Protection Regulation (GDPR).
    2. Members’ personal data will be collected and used only for club-related activities, including communication and event management.
    3. Data will be stored securely and not shared with third parties without explicit consent.
    4. Members have the right to access, correct, or request deletion of their data by contacting the Committee.
  9. Code of Conduct
    1. Members are expected to respect others and their work.
    2. Any disputes will be addressed by the Committee.
  10. Dissolution
    1. The club may only be dissolved by a two-thirds majority vote at an EGM.
    2. Remaining funds shall be donated to a charity chosen by the members.
    3. In the event of dissolution of the organisation any Club Trophies will be offered to the Ceredigion Museum. Any remaining trophies and any other property of the organisation will be realised and used to satisfy the Club debts and liabilities. If, following this process, there is any money, or any trophies, remaining it will be given or transferred to some other institution having objects similar to the objects of the organisation (it will not be paid to nor distributed among members of the organisation). The constitution provides for any remaining funds are donated to a charity(ies) chosen by the outgoing committee.
